Calendly Connection

OVERVIEW

Connect your Calendly account to your ActiveCampaign. When a Calendly event gets scheduled, the registrant’s information will be sent to PlusThis and we will pass that information into your  ActiveCampaign and create a contact if necessary, and update fields and apply a tag on the record to include the date and time of the appointment.

Getting Started with Calendly Connection

IMPORTANT. We highly recommend watching this video if it's the first time you've set up this tool. The video will shorten your learning curve significantly by showing you a quick example of how to implement the tool with ActiveCampaign.

Calendly Connection Configuration Options

Below, you will find the options for building your Calendly Connection tool. Follow along in your PlusThis app, or by viewing the numbered step in the screenshots.

Please select an Event Type

In the drop-down, select the Event Type you would like to connect this tool with.

(toggle) Would you like to create a new contact if a contact record doesn't already exist?

Switch the toggle over to "yes" if you would like to create a new contact if a contact doesn't already exist. Switching the toggle over to "yes", you will see some options appear. They are pre-populated with the default First Name & Last Name fields for ActiveCampaign.  

What would you like to do when a customer registers for an event?

Select fields where you would like to store information when an event is registered for.

Save the start date and time in the following field:

Select the field that you would like PlusThis to store the Calendly event start date and time for on the contact record.  
If you do not have a field created already, you can create a field by clicking on the plus (+) symbol on the right-hand side of the field selector.

Save the pretty event start date and time in the following field

If you would like to store a "pretty" version of the start date and time, select the field that you would like PlusThis to store the pretty start date and time for on the contact record.  
"Pretty" event start dates are provided by Calendly and look like this: 12:00 pm - Wednesday, March 14, 2018

Save the end date and time in the following field:

Select the field that you would like PlusThis to store the Calendly event end date and time for on the contact record.

Which tag(s) would you like to apply?

Select the tag that you would like PlusThis to apply to the contact record.  

If you do not have a tag created already, you can create a tag by typing the name of the desired tag in the tag selector and the hitting "Add.... ".

What would you like to do when an a customer reschedules?

Select fields where/if you would like to store information when an event gets rescheduled.

Update the original contact record if the contact information is different? (toggle)

This toggle will be set to "yes" by default, however, if you do not want to update the original contact record if the contact enters different information into the reschedule form - just switch the toggle over to "no".

Save the reschedule reason in the following field

If you would like to save the reschedule reason in a field then select that field here.

Save the rescheduled start date and time in the following field

Select the field that you would like PlusThis to store the rescheduled Calendly event's start date and time for on the contact record.

Save the rescheduled end date and time in the following field

Select the field that you would like PlusThis to store the rescheduled Calendly event end date and time for on the contact record.

Which tag(s) would you like to apply?

Select the tag that you would like PlusThis to apply to the contact record.  

What would you like to do when an a customer cancels their registration from an event?

Select fields where/if you would like to store information when an event gets cancelled.

Save the cancel reason in the following field:

If you would like to save the reschedule reason in a field then select that field here.

Save the date and time canceled in the following field:

Select the field that you would like PlusThis to store when the Calendly event was cancelled.

Which tag(s) would you like to apply?

Select the tag that you would like PlusThis to apply to the contact record.

Save the customer's phone number

If you would like to save the phone number provided through Calendly (must have Calendly Pro account), select that field here.

Save the Calendly Contact Owner in the following field

Select the field that you would like PlusThis to store the Calendly Contact Owner in.

Select the field that you would like PlusThis to store the Calendly Event Name in.

Name

Enter a name for your tool in this field. The name is solely for use inside of PlusThis, and will not be visible to customers.

"Need to Know" Items for Calendly Connection

You can only have one tool configured per event. The dropdown will only show events that are still available for configuration. To view events that have already been configured, select the text next to the dropdown.

Implementation Types

Calendly

Port important data to ActiveCampaign when a contact schedules an appointment through Calendly.

This tool does not require any implementation to run it. It will run automatically when a contact schedules an event in your Calendly application. Best practice is to use the tag you applied in the 6th step of configuration to start automation after this tool has run.
